They maintain a simple philosophy: to supply necessary quality components to their customers. Specializing in hard-to-find and obsolete parts, TAE’s sales team has the experience and resources to fulfill requests that other suppliers cannot. Their talent, expertise, and core values have facilitated rapid growth – TAE is one of the fastest growing companies in the aerospace industry.

Recently, our team had the pleasure of interviewing Mary Pellegrino, President of TAE, following their successful migration from NetSuite to ERP.aero. To begin, I asked Mary to tell us about TAE and her views on how ERP solutions can be helpful for business:

We strive to be a one-stop shop for our customers, and we do not stop until all parts on the RFQ are quoted, regardless of whether they are obsolete, old, or hard to find. Our team consists of experienced and dedicated sales and purchasing professionals, but to fulfill our promise we need adequate tools like cloud-based ERP software to perform at our best.

Historically, ERP software in the aerospace distribution industry was heavily dominated by Quantum and Pentagon, whose software entails high implementation costs and challenges with maintenance, ownership, customization, and scaling over time.

Most of our team comes from small to mid-sized companies in Aerospace Distribution and has experience using Quantum, Pentagon, and the like. So, when starting TAE, we signed with NetSuite – a cloud-based, customizable ERP/CRM system by software giant Oracle.

In their search for an ERP solution, Mary told us they were looking for a provider that would be able to customize for a diversified business like theirs:

NetSuite promised flexibility, adaptability, and easy customization. However, to configure even simple features was cost prohibitive. During the implementation, we became discouraged by the customer support, which was often unavailable and stunted our ability to operate. We knew we were in a bad spot and had to do something. We needed to get an ERP system up and running that would allow us to run our business effectively. So, we searched for an alternative solution, which – thankfully – brought us to ERP.aero.

With twelve months still left on their contract with NetSuite, TAE made the decision to switch to ERP.aero and stop using NetSuite altogether. Why?

It was painful to come to terms with the fact that we were actually better off switching solutions and paying for both through the remainder of our NetSuite contract. But there was no way we could continue compromising our ability to run and scale our business due to the serious issues we were having with NetSuite.

While NetSuite may be a successful solution for some large companies, it’s not unusual for small to mid-sized companies to experience what has been coined “the NetSuite nightmare.” NetSuite has been designed for businesses generally, and though it is extremely flexible and customizable, those customizations cost enormous amounts of time and money if a business wishes to receive the attention from Oracle necessary to get the ERP solution they want.

Alternatively, ERP.aero was developed specifically for businesses in aviation, and our team has decades of experience working in aerospace as well as computer science and mathematics. Many of our team members come from a background working at companies where they had experienced ERP problems with incumbent ERP systems accepted by the industry (like the problems experienced by TAE with NetSuite). These are precisely the issues that brought us together to build a better solution – one that would eliminate the ERP nightmares of our past and support small to mid-sized companies in our industry with top-of-the-line ERP that uses the best technologies available.

I asked Mary if she could describe her experience so far with ERP.aero after the migration:

The software is clearly thought-through and offers a purposeful solution that covers all our operations, manages customer relationships, integrates with catalogs and other software we use, and even utilizes AI for meaningful business intelligence. The team listened to our needs and made the implementation and onboarding feel easy, adjusting the software to accommodate our diversified products. This is a company that cares about the success of the businesses they serve.

To conclude, I asked Mary to share her takeaways going through the COVID-19 pandemic, industry crisis, and shutdowns:

The business is changing, for sure… The pandemic and shutdowns led us to depend less on a physical office location and instead work remotely. We also saw a lot of organizational change, which meant that the ability to scale quickly was crucial. Finally, it has become more important than ever before for businesses to know their customers, using customer tracking, leads, and predictive analytics to make smart business decisions during massive supply chain delays and challenges. Obviously, all these issues can be largely solved with a highly scalable and customizable ERP platform that’s backed by a team interested and willing to support their customers. These are the reasons we chose ERP.aero over NetSuite.

I thanked Mary for her time and for sharing TAE’s story. Not only does their story illuminate common problems in our industry with ERP giants, but it also helps us to learn how we can help TAE and others get exactly what they want from their ERP. We are glad to have been able to show TAE that implementing and using an ERP system can be a positive experience with beneficial outcomes. We know that TAE is growing quickly, and we’re looking forward to continuing our work together as we scale the software to keep pace with their growth. And it’s great to know that our software and our team are providing the kind of solution we set out to provide.

One of the first documents I encountered on the job was the Quality Manual. Later on, I learned that this rather lengthy document was part of the Quality Management System (QMS), the collection of processes, policies, procedures, resources, assets, and cultural values aimed at helping an organization continuously improve and achieve its goals of customer satisfaction and organizational efficiency. The Quality Manual quickly became my go-to for all “when in doubt” situations.

The major international standard we often refer to when talking about QMS is ISO 9000. Since its inception in 1987, it’s been widely accepted by millions of organizations across the world. The ISO 9000 family of standards has gained popularity because it offers a framework for improving quality without dictating what an organization’s objectives should be or prescribing precisely how to achieve them. It offers a standardized vocabulary to bridge understanding and gives fundamental guidance that’s applicable to any organization looking to provide products and services that consistently meet the requirements and expectations of customers in the most efficient manner possible.

The Federal Aviation Administration (FAA) itself is certified to ISO 9001 and the FAA Advisory Circular 00-56 lists ISO 9001 as an acceptable quality standard for FAA 145 MROs and FAA 00-56B distributors. Soon after the acceptance of ISO 9001 by the FAA, the Aviation Suppliers Association (ASA) became an accredited certification body for ISO 9001.

In 2015, a new version of ISO 9001 was published in response to the growing global supply chain size and complexity and the exponential increase in the availability of technology, products, and services for consumers. New requirements were needed to keep pace with the rapid growth and to support companies in meeting ever-greater expectations.

Implementation of the new ISO 9001:2015 standard meant a re-familiarization with the terms we learned in business school: Leadership, Performance Evaluation, Continual Improvement, Reporting, SWAT Analysis, and… Risk-Based Thinking.
While Quality Control and Sales bemoaned the inconvenience of transitioning to the new standard, we were busy applying a risk-based approach to imagine every “what-if” scenario possible and use our findings to uncover blind spots and identify areas for improvement.

Paper documents & closed offices

One of the obvious shortcomings we found was our heavy reliance on paper documents and the inability of our ERP system at the time to easily store, manage, and retrieve documents upon request. Our risk-based analysis also revealed that we had no system built into our aerospace ERP for ranking customers or tracking supplier ISO/ASA credentials and other information that could help immensely in making decisions on whether or not to add a supplier to our Approved Suppliers List (ASL).

Thinking back on our “what-if” exercise, I remember discussing a scenario that, at the time, most thought unlikely (if not impossible). It was this: “What if the offices of our company or the offices of our suppliers aren’t able to open for business? What impact would that have?” Today, after the events of 2020, this may sound painfully familiar… not impossible after all. It was this specific “what-if” that led us to recognize the potential risks of relying so heavily on our physical office and warehouse space. This helped us envision what was needed in order to run operations remotely.

It became evident that the two ERP systems we were using at the time to conduct business were inadequate. Our situation was made further challenging when we learned that the other ERP solutions that were widely accepted by and dominant in our industry were also lacking. No platform existed to meet the new quality standards or address the potential risks we had identified. So, we decided to create a new ERP platform that would provide a paper-less solution, allow companies in the space to move away from office/warehouse centricity, fulfill the ISO 9001 and ASA-100 quality standards, and capitalize on Customer Relationship Management (CRM) capabilities to inform Risk Assessment in business transactions.

Fast-forward four years:

Yet, despite the opportunity for growth with the introduction of good ERP software, executives tread carefully.

Earlier this year at the 2020 Aeroxchange Conference held in Los Angeles, the CEO of an aviation parts distribution company told us that executives are being fired for changing their companies’ ERP systems. He explained that not only is this a trend, it’s a top reason Boards of Directors and shareholders ask CEOs to leave. After the conference, we sat down, looked for proof of his story, and found his words to be true: implementation of ERP software has resulted in high-profile failures that are hard to forget.

However, the problem isn't ERP itself, and it has little to do with the decision to implement new ERP software. After digging into the mistakes that led to failure, we identified solutions to ensure success with a new ERP setup and to help CEOs avoid pitfalls that could spoil the huge potential of their ERP.

Choose the Correct ERP System for Your Company.

It’s impossible to create one-size-fits-all ERP software and a mistake to expect buy-and-configure systems to make the cut for all companies of all sizes, across all industries, everywhere. Legacy platforms do not typically leave room for customization, and homegrown solutions pose significant limitations. SAP might work well for big companies, but the optimal selection for small to medium enterprises lies elsewhere.

Ideally, CEOs identify an ERP partner that’s privy to the needs of their company and will implement changes in response to their company’s evolution (not the other way around).

Establish a Direct Channel Between Your Business and Your ERP Partner.

Implementation partners, too, play an important role in the successful (or unsuccessful) launch of a new ERP system and assurance of its sustained workability. Finding an ERP partner that also acts as your implementation partner can mitigate misunderstanding and miscommunication.

Acknowledge the Attention Needed to Execute a New ERP System Successfully.

Assuming that an ERP system will work automatically upon purchase sends executives down an ominous path. CEOs must facilitate the success of new ERP software implementation by dedicating time and resources to walking the ERP partner through all aspects and processes of their business. This ensures delivery of a well-tested, well-tailored platform. The ERP system must satisfy unique needs and activities of a business in a simple and efficient manner.

This is the Legacy of the CEO.

Letting go of archaic ERP systems isn’t easy. They met our needs in the past, and yes, they still function. However, legacy and homegrown systems do not position companies competitively in the present or future. Implementing a new ERP system is a necessary transition that requires courage and dedication from executives.

Executives can navigate the implementation smartly by vetting ERP suppliers, touring software, asking for references, identifying the right implementation partner, and ensuring time and resources are allocated to the transition. By equipping their companies with the right MRO ERP software, CEOs take business to the next level, outperform competitors, and provide their customers with precise, seamless, and efficient products and services.

What drives Tesla’s success cannot just be crowned by their innovative vehicles, but also with their unconventional aftermarket support, which moves away from relying on distributors and channel partners, a major milestone for the automotive industry.

How is Tesla monopolizing their Aftermarket Support?

Tesla's core competency is not their vehicles at face value, but the uniqueness of them. As Tesla makes unique vehicles, Tesla aims to keep its business model just as unique. Tesla, in order to truly disrupt the industry, must limit any channels that offer spare parts for their vehicles.

If a normal vehicle was to break down, the owner has a plethora of options to find a new spare part. If the broken vehicle was a Tesla Model 3, the owner has to directly go to Tesla for spare parts. By cutting out any channels, the distribution is purely vertical, from Tesla’s production, retail, and aftermarket support.

By not allowing OEM’s to sell their Tesla specific parts to distributors and market directly to the consumers, Tesla can maximize their profits and brand equity. Major automotive firms will have to adjust not just their product line, but their business and revenue model if they were to compete with Tesla.

How is the Aviation Industry Following Tesla’s lead?

As Tesla dominates the automotive industry, aviation OEMs are taking steps to increase its market share in the aftermarket support. A key player that is signaling this change is Boeing.

Like Tesla, Boeing is aiming to maximize its profits by eliminating the use of brokers or distributors in exchange for creating direct channels to its clients. As the sales of new airplanes decrease and the aftermarket value currently at $62 billion and growing, Boeing has been making strides to grow aftermarket support to their services and ending reliance with distributors. An example of such is the termination of agreements with large suppliers such as Spirit AeroSystems. Boeing’s end goal is to reach sales of $50 billion in just little over 5 to 10 years, and the company is taking monumental steps to achieve its quota.

As Boeing historically has been known to allocate their support to production services, this is a new direction for Boeing as they aim to gain a significant market share in aftermarket support.

What Comes Next?

As OEMs go vertical, problems are derived from the new disruption of the aviation aftermarket support industry. There is no decrease in progress as large OEM’s economies of scale easily outpace traditional smaller brokers, distributors, and MROs.

In order for the existing companies to survive in the new climate, they must look for ways to increase the efficiency of their operations, know their customers better, and quickly react to the changes of the agile market.

Utilizing the right tools can make all the difference.

ERP.aero, within a single cloud-based system, besides having standard ERP modules, provides an irreplaceable set of tools to optimize operations, build and maintain a loyal customer base, and provide data to support informed decision making.
